Quote Statuses and Lifecycle
Every quote request has exactly one status. The app uses four statuses. Proposal sent and Expired are extra badges shown next to the status, not statuses of their own.
The four statuses
Section titled “The four statuses”| Status | What it means |
|---|---|
| Unread | The quote was submitted from your storefront or created in the admin, and nobody has opened it yet. |
| Under review | You opened the quote, or a proposal was sent while it was still Unread. |
| Converted | A Shopify draft order was created from the quote. This is a final status. |
| Rejected | The quote was closed without an order. This is a final status. |
You can filter the Quote Requests list by any of these statuses with the Status filter.
What changes the status
Section titled “What changes the status”| From | To | What triggers it |
|---|---|---|
| (new) | Unread | A customer submits the quote form, or you click Create new quote and save. |
| Unread | Under review | You open the quote in the admin. |
| Unread | Under review | You send the proposal email, or Auto Send Proposal sends it for you. |
| Unread or Under review | Converted | You click Convert to draft order on the quote, or the customer clicks the approve button in the proposal email. |
| Unread or Under review | Rejected | You pick Rejected in Change status, or the customer clicks the reject button in the proposal email. |
Changing the status by hand
Section titled “Changing the status by hand”- Go to Request for Quote > Quote Requests > Manage requests.
- Open the quote.
- Click Change status at the top of the page and pick the new status.
Rules the app enforces:
- Converted and Rejected are final. The Change status menu is hidden for these quotes and the status cannot be changed back.
- Once a proposal was sent, you cannot move the quote back to Unread.
- Picking Converted in Change status only changes the label. It does not create a draft order. To create the draft order, use Convert to draft order instead.
Editing converted and rejected quotes
Section titled “Editing converted and rejected quotes”- A Converted quote is locked. Edit the draft order in Shopify instead. The quote page links to it.
- A Rejected quote is locked, unless it already has a draft order.
The Proposal sent badge
Section titled “The Proposal sent badge”The Proposal sent badge appears as soon as a proposal email reaches the customer, whether you sent it by hand or Auto Send Proposal sent it. The badge stays on the quote. The button on the quote page then reads Resend proposal email.
The Expired badge
Section titled “The Expired badge”A quote shows the Expired badge when its expiry date has passed and the quote is not Converted or Rejected. You can filter by it with the Expired date filter.
The badge is a reminder only:
- It does not change the status.
- It does not block you from sending a proposal or converting the quote.
- It does not remove the quote from the customer’s quote history.
The expiry date comes from one of two places:
- The Quote expiration date picker on the quote page.
- Quote Automation > Default Expiration, which sets an expiry date on new quotes a set number of days after they are created. Quotes created before you turned it on are not changed. This automation needs the Business plan or higher.
What your customers see
Section titled “What your customers see”In the quote history page and the customer account quote list, customers see the same four statuses and the Proposal sent badge. Prices are shown once a proposal was sent or the quote was converted. Before that, customers see “Awaiting merchant” in place of prices in the customer account quote list.
