Shopify Account Activation Email When You Approve a Customer
When you approve a wholesale application, BSS B2B Solution creates the customer in Shopify. Depending on your form settings and your account type, Shopify can then send its own account activation (invite) email, in addition to the approval email from BSS B2B Solution.
This page explains when that happens and what you can change today.
Two emails, two senders
Section titled “Two emails, two senders”| Sent by | You control it in | |
|---|---|---|
| Application approved | BSS B2B Solution | Registration Forms > Email templates |
| Account invite (activation), classic accounts | Shopify | Shopify, plus the form’s password setting below |
The first one is yours to edit, turn on or turn off. See Manage, approve, and notify your wholesale customers.
New customer accounts and classic accounts
Section titled “New customer accounts and classic accounts”- Classic (legacy) customer accounts use a password. A customer without a password normally gets an invite email with a link to set one.
- New customer accounts are passwordless. Customers sign in with a one-time code sent to their email, so there is no password to set.
BSS B2B Solution works with both account types. See Does BSS B2B Solution adapt with Shopify new customer accounts?.
What you can change today: the password field on the form
Section titled “What you can change today: the password field on the form”For forms that use Manual approval, the form’s Settings step has a checkbox called Hide password field on the form. It decides how the customer is created when you approve:
| Setting | What happens on approval |
|---|---|
| Hide password field on the form is not ticked | The applicant typed a password on the form. The customer is created with that password and the app does not ask Shopify to send an invite. |
| Hide password field on the form is ticked | The customer is created without a password and the app asks Shopify to send the invite email. |
| A multi-step form (no password field) | The customer is created without a password and the app asks Shopify to send the invite email. |
To avoid the activation email on classic accounts:
- Open B2B customers > Registration Forms and edit your form.
- Choose Manual approval after registration in the Settings step.
- Leave Hide password field on the form unticked, and keep the password field on a single-page form.
- Save, then test with one application before you go live.
What you cannot change yet
Section titled “What you cannot change yet”- There is no switch in BSS B2B Solution that turns off the Shopify invite for multi-step forms.
- Shopify decides what the invite email says and looks like. On classic accounts you edit the invite in Shopify under Settings > Notifications.
- On new customer accounts, passwordless sign-in has no password to set. Customers sign in with a one-time code. Shopify’s invite and activation link work only with classic accounts (Shopify docs).
Other ways activation emails reach customers
Section titled “Other ways activation emails reach customers”- A customer who already exists in Shopify. If the applicant’s email is already a Shopify customer who was invited but never activated, the app can resend the activation email. Shopify’s invite can arrive together with your approval email.
- The Account activation email in BSS B2B Solution. The Account activation template is sent when an approved customer has no password. If you turn it off or it cannot be sent, the app asks Shopify to send its own activation email instead.
- Write your approval email so it explains the next step: set a password or sign in with a one-time code. Customers then understand why a second email arrives.
- Check Email delivery for each approved customer to see which emails the app sent. See Email Delivery.
- Build a Powerful Wholesale Registration FormCreate a wholesale registration form that works with legacy customer accounts: fields, approval, tags, spam protection and publishing.
- Change the Email That Receives New Wholesale ApplicationsChoose which email address gets a message each time a wholesaler submits your registration form, and add more recipients.
- Email DeliveryTrack every email your registration form sends, see what is pending, sent, failed or cancelled, and resend or cancel an email without leaving the app.
- Import & Export Registration DataExport wholesale registration submissions to CSV for backup or review, and import them to move registration data between stores.
